An AI Assistant for Business: Where It Helps and Where It Hurts
What a business AI assistant is, which tasks it covers, how to ground it in a knowledge base and why it starts making things up without rules. Customer-facing and internal.
An AI assistant is a helper built on a language model that answers questions and performs simple actions according to your rules and your knowledge base. Some face customers, some serve staff. Both save hours if they are constrained properly.
Customer-facing assistant
- Answers frequent questions: prices, terms, timelines, addresses.
- Captures leads and books appointments.
- Clarifies details before handing over to a manager.
- Works nights and weekends.
Internal assistant
- Answers from policies and procedures.
- Finds the right document or template.
- Helps new hires: "how do I process a return", "who handles deliveries".
- Drafts emails, reports and replies.
How the assistant learns about your business
- 01Questioncustomer or staff
- 02Searchfragments from the base
- 03Answerthe model uses what was found
- 04Not in the base?hand over to a person
A model knows nothing about your prices and rules. The assistant gets a knowledge base: texts, tables, procedures. When a question arrives, the system finds relevant fragments in the base and answers from them. This approach is called RAG.
About 80% of an assistant's quality depends on the base: how complete, current and clear it is.
Where assistants do harm
- They make things up. If the answer is not in the base, the model may invent one. Mandatory rule: "not in the base, say you will check and hand over to a person".
- A stale base. Prices changed, the base did not, and the assistant confidently quotes old ones.
- No handover. The customer is angry, and the assistant keeps politely answering by template.
- Promises. Deadlines, discounts, guarantees. Better to forbid these outright.
How to roll out an assistant
- Collect 30-50 real questions from customers or staff.
- Prepare a knowledge base that answers them.
- Write rules: what to answer, what not to, when to call a person.
- Test on those 30-50 questions and see where it fails.
- Launch on a share of conversations and read the dialogues for the first weeks.
- Assign someone to keep the base current.
FAQ
How is an AI assistant different from a chatbot?
A regular chatbot runs on buttons and scripts. An AI assistant understands free text and answers in its own words, grounded in a knowledge base.
How do I train an AI assistant on my data?
Usually the model is not retrained. Instead, a knowledge base is connected: when a question comes in, the system finds the relevant fragments and passes them to the model with the question.
Where can the assistant live?
In Telegram, MAX, on your website or in an internal messenger. One assistant can serve several channels.
How much does a business AI assistant cost?
A simple bot assistant starts at $360. The price grows with the size of the knowledge base and the number of channels and integrations.
